Hybrid Meetings in UCC

IT Services have been working with colleges and units across UCC to deploy devices to enable hybrid meetings in UCC.  This article will share information about the roll out and the devices that are being installed.

While we all adapted to using our personal devices for online settings a further evolution to the use of hybrid meetings is our present and future. As part of UCC’s efforts to support this evolution to blended working, IT Services has invested in several high-quality devices to facilitate hybrid meetings.

Device Deployment.

These kits are currently being deployed in stages. We are contacting colleges and units who will in turn identify users for these device kits. A responsible user is someone who will be recorded by IT Services as the person in possession of the device. This is not to limit its use but to keep track of the devices given out to better provide support if needed. How, who and where you choose to use your meeting device is completely up to you and the needs of each area.

About the Logitech MeetUp and Owl Pro.

The Logitech MeetUp and Owl Pro are the meeting devices used for these kits. The devices each area will receive is based on the nature of the hybrid meetings you will be holding and rooms you may be using the device in. One device is more suitable for certain meeting structures than others. Both device kits are completely portable and allow for use in any room based in your meeting's needs. Each device is a microphone, camera, and speaker in one to avoid worrying about extra cables or attachments. Our hope is that these kits ease the worry around hybrid meetings, providing a device well tested for use within UCC.

The MeetUp device is ideal for most hybrid settings allowing for semi-circular or panel structured meetings. You’ll likely be familiar with the Logitech webcams in many of our teaching rooms across campus, the MeetUp works in much the same way, but it is larger for a wider-angle capture.

The Owl Pro meeting device is a wonderfully advanced piece of tech that allows multiple speakers to be in view at a time while allowing those who are more camera shy to have a break from the spotlight when they are not speaking. Both the MeetUp and Owl are easy to set up with only two cables to keep track of.  Both devices connect to your laptop, PC, or smart TV with a USB cable that comes in your device kit. In addition, an instructional leaflet has been included in the kits to walk you through the set-up process as many times as you need.

Further Support.

In addition to the kits themselves further support is available via the Digital Advisory Centre’s SharePoint site hybrid meetings for blended working. This includes the how to instructions, in case your physical copy runs away, and frequently asked questions to help troubleshoot problems you may encounter. We will also be organising live demonstrations and notifying those who are recorded as responsible users to attend. These demonstrations will be recorded and provided as part of our web support.
