UCC's new financial system 'Agresso' goes live

UCC launched a new financial system 'Agresso' on October 1st 2008. One of the more noticeable changes is that all staff expenses can now be entered on Agresso via the UCC Intranet. Roll out of web-based procurement will follow early next year.

Agresso and FMS Project
The decision to replace the current system with Agresso http://www.agresso.com/ was taken in the summer of 2007 following a detailed procurement exercise.  A project team from UCC's Finance Office was mobilised under the sponsorship of Diarmuid Collins, and together with external support from Irish systems integrator Calyx (http://www.calyx.ie),  they have configured Agresso to meet the needs of the university from a financial accounting, management reporting and procurement perspective.

Benefits to be expected
Agresso will provide UCC with the ability to perform all of its reporting and analysis from a single accounting system.  Other benefits are as follows:

  • Intranet based requisitions for goods and services
  • Eliminate unnecessary administration from departments
  • Electronic communication of purchase orders with suppliers
  • Scanned copies of all invoices available on the system
  • Self Service for employee expenses with more frequent payment runs
  • Automation of many manual activities in the Finance Office
  • Improved information on procurement spend
  • Better management information leading to improved decision making
Implementation Strategy
The project has now gone live (from October 1st 2008) the beginning of the 2008/09 financial year. Outside of the finance office the main changes will be:
  • Self Service for employee expenses
  • Coding of invoices will change as new codes will be introduced for accounts, cost centres and projects.  These codes and any new procedures will be communicated to impacted people prior to go live
  • A pilot implementation of new procurement functionality is planned for the School of Nursing
  • The Building & Estates office will follow before year end with the remainder of the university to go live from January 2009.

Conclusion
Programmes such as this are difficult and I would like to thank the project team, personnel from the Finance Office and Computer Centre and all departments that have provided their time in the design, build and testing phases. Your support through the difficult go-live period is also requested and I look forward to the benefits this investment in modern technology will bring to the entire university.
