Office365 Tips and Tricks

  • Save as .pdf
When you save presentation as a PDF file it freezes the formatting and layout. Classmates and lecturers can view the slides even if they don’t have PowerPoint, but they can’t make changes to it.
  • Design ideas
PowerPoint Designer automatically generates design ideas for you to choose from. Take your presentation to the next level and add a professional touch using Microsoft's design ideas.
  • Presenter View
PowerPoint Presenter view shows you the current slide, the next slide, and your speaker notes, to help you while presenting. Check out Microsoft's instructions on how to use Presenter View.

  • Line breaks
Start a new line of text within a cell in excel using these instructions
  • Freeze panes
Freeze panes to lock rows and columns. To keep an area of a worksheet visible while you scroll to another area of the worksheet, see Excel's freeze panes option.
  • Conditional formatting
Add visual cues to make your data easier to understand using Excel's conditional formatting.
  • Paste Special
When you use Copy and then Paste in Excel, by default it will paste everything (formatting, formulas etc.). If this is not what you want (e.g. the result of a formula but not the formula), then use Paste Special.

  • Training
Did you know our IT Training team offer a wide variety of Microsoft Office trainings? From pre-recorded Microsessions available to view anytime to scenario-based learning with Learning Pathways.
  • Referencing
Did you know you can create a bibliography, citations and references in Microsoft Word? For more information see Microsoft referencing. This was covered in an IT Training Microsession, watch the recording for more details.
  • Need to add some flair to your next project or assignment?
Microsoft offers plenty of templates to jump start your next document.
  • Save a Copy
The Office apps automatically save as you work. To avoid overwriting your original file, save a copy before you start making changes.

  • OneDrive basics
Everything you need to know to get started on OneDrive can be found at OneDrive basics.
  • Restore to previous version
Restore deleted files or recover older versions of your files using Microsoft's version history. It works with all file types, including Microsoft files, PDFs, photos and more.

Your student subscription

  • What happens my subscription when I graduate?
Your MS Office subscription is valid throughout your enrolment with UCC and ends upon graduation.  You may enroll into other consumer or commercial offers available.  If you have MS Office Student Advantage, you should make sure to transfer all your files from your University OneDrive to your personal OneDrive prior to graduation.  At expiration, the Office applications enter a reduced-functionality mode, which means documents can be viewed but it isn't possible to edit or create new documents.  In addition, online services associated with the school email address, for example Office Online and OneDrive, will no longer work.
  • What is included in my student Office 365 subscription?
    • Office 365 ProPlus for PC
    • Office 365 ProPlus for Mac
    • Office Mobile for iPhone
    • Office Mobile for Android
  • How many devices can I run the subscription on?
Each subscription licence allows you to run Office on up to five machines being Mac or PC.  You can also run Office Mobile for Android or Office Mobile for iPhone on up to 5 mobile devices.
  • Scanner in your Pocket
Scan written study notes and documents quickly right from your phone using the Office Lens App.
