Guidance for Heads of Schools/Departments, RICU Directors and Heads of Colleges.

While the Heads of College and the Vice President for Research and Innovation (VPRI) will have oversight over Research Business Continuity Supports  and Research Continuity Approval & Reporting Processes, in practice  the principle of subsidiarity means that approval will be delegated for the most part to the Heads of Units - Heads of Schools/RICU Directors and where delegated to the Heads of Departments/or equivalent

Heads of Units (Schools/RICUs/Departments)

  • Heads of Schools/RICU Directors, and Heads of Departments, have the responsibility to ensure that research is carried out in a responsible and safe manner in their research units, in line with guidance from the Research Business Continuity Supports, the Campus Business Continuity Team (CBCT; Returning to Campus) and national guidelines.
  • Accordingly, Heads of Unit must ensure the following:
    • Approve Covid-19 Response Plan documentation in accordance with Research Continuity Approval & Reporting Processes.
    • Head of Unit signatory should be included in approved Covid-19 Response Plans, including a signed Statement of Assurance, see Guidance on Covid-19 Response Plan documentation detailed elsewhere on these webpages.
    • Liaise with PIs/Research Managers with any additional queries and/or information required to issue approval.
    • Ensure that additional Head of College Approval is obtained where required, as detailed in the Research Continuity Approval & Reporting Processes . In such cases, Covid-19 Response Plan documentation must be submitted to the Head of College as necessary, including a Letter of Assurance (see relevant Templates for Letters of Assurance available at Templates and Resources for Research Continuity).
    • Ensure that authorised persons, for each unit, in accordance with the Covid-19 Response Plan, carry out regular Quality Control and Compliance Checks in your research area/unit.
    • Liaise with your Head of College to ensure that there are sufficient processes in place to manage/store/share RBCT Documentation as detailed in the guidance on the .
    • Provide feedback to your Head of College, as necessary.
    • Provide feedback to the Research Business Continuity Team (RBCT) for their monthly meetings and/or as necessary.
    • Update researchers in your area on institutional and research continuity as required.

Heads of Colleges

  • The Head of College has the overall responsibility to ensure that research is carried out in a responsible and safe manner within the College, in line with in line with Research Business Continuity Supports  guidelines, the Campus Business Continuity Team (CBCT; Returning to Campus)/ institutional and national guidelines (as detailed in National/Institutional Policies & Guidance).
  • Decide if additional college approval is required for certain cases, and grant approval as necessary, in accordance with the Research Continuity Approval & Reporting Processes.
  • Heads of Colleges must communicate the approval processes for their college to the Heads of Schools/RICUs/Departments.
  • Liaise with Heads of Schools/RICUs, or where delegated, Heads of Departments/equivalent with any additional queries or information you may require to issue approval.
  • Liaise with your Heads of Schools/RICUs, and where delegated Heads of Departments/equivalent, to ensure that there are sufficient processes in place to manage/store/share RBCT Documentation (see Research Continuity Approval & Reporting Processes).
  • Ensure that regular quality control and compliance checks are carried out in research units and areas across the College.
  • Provide feedback to the University Management Team (weekly meetings) and the Research Business Continuity Team (monthly meetings), in line with Research Continuity Approval & Reporting Processes.
  • Update researchers on research continuity matters as required.
