Staff FAQs (April 2020)

Students have contacted me to disclose that they are registered with the DSS. How can I identify the accommodations they will need for their online exams?

Please contact your Head of School for details of any DSS students in your module(s) who may need exam accommodations.

A student registered with the DSS is taking a module that I teach and has the following Exam Accommodation/s, how can this be facilitated for online assessment?

Exam accommodations may need to be facilitated differently.  Please refer to the detail below and if you have any queries please contact the Disability Service at dssinfo@ucc.ie.  

 

10 mins Extra Time

 

If the student normally gets 10 minutes extra time per hour for their exams this must be accommodated when setting up the assessment in Canvas

Electronic Reader

 

For the end of Semester 2 exams that will take place online students will still be able to access an Electronic Reader.  

As students will be sitting the exams remotely they have been advised to use Claro Read or Immersive Reader. 

Claro Read is the preferred option for an MCQ and either Immersive Reader or Claro Read can be used for Word documents.  Below are training videos for students and they will also be given the option to attend training Webinars the week of the 13th and 20th of April.

Scribe

The DSS is currently working with students to ensure they will have the support of a scribe remotely.

A Scribe can work with a student remotely and will be using Microsoft Teams.  Students and Scribes will be required to take part in a practise session prior to their first as well as familiarising themselves with Teams and Office 365 using the training material in the links below

SPLD Stickers (Yellow Stickers)

 

Students will indicate they have a Spelling and Grammar Waiver on the Cover Sheet.  Where a Cover Sheet is not available students will type the text below before beginning to answer their exam:

I am registered with the Disability Support Service and I avail of a Spelling and Grammar waiver for my exams. Please see link to marking guidelines here https://www.ucc.ie/en/dss/publications/.

Human Reader

 

Transfer to an Electronic Reader

In place of a Human Reader students have been advised to use an Electronic Reader.

Claro Read is the preferred option for an MCQ and either Immersive Reader or Claro Read can be used for Word documents.  Below are training videos for students and they will also be given the option to attend training Webinars the week of the 13th and 20th of April.

Rest breaks 

 Previously for exams that took place on Campus the clock is stopped for the rest break which is not an option for online exams in Canvas.  The rest break should now be facilitated by allocating additional time to the duration of the exam which will allow students to take a break where needed. 

  • for a 90 minute exam the rest break is 15 minutes
  • for a 180 minute exam the rest break is 30 minutes

Alternatives to 

Magnified Paper

 

 

As the exam will be online a hard copy will not be available so students have been advised to use Windows Magnification to enlarge the text on screen when necessary.  Link to training video below:

Voice Recognition

Dragon Naturally Speaking

Voice Recognition can be facilitated for students who have used it previously in exams as they have been provided with a laptop that has Dragon installed on it by the DSS

C Pen

The C Pen is not an appropriate accommodation for online exams so for the Semester 2 exams we have advised student to use Claro Read or Immersive Reader.

Coloured Paper

Students have been advised to change the colour of the text or screen to suit their needs and this can be facilitated in Word or with Claro Read.

I have a variety of files/document that I wish to share with the students in my lectures but they are not accessible in their current format. Can I convert them into an accessible format?

Yes, you can use an online UCC Service called SensusAccess to convert your readings into formats that are more useful for you or easier to work with such as MP3 Files, Word files and E-Books.

You can use SensusAccess to convert:

  • slides and lecture notes
  • scanned PDF documents from Canvas
  • downloaded journal articles
  • pictures of text captured with your smartphone
  • and more

Is there a particular format I should have my exam paper in?

We recommend that your exams is available in Word format as this will enable students to use the appropriate additional software that will be critical for the online exam.

A student registered with the DSS has requested a reader, can this be facilitated?

We have recommended that students who are using a Windows device should use Claro Read or Immersive Reader. 

If a student intends to use a different device for the online exam we are can work with them to identify appropriate accommodation. If this is the case please refer them to the Disability Service at dssinfo@ucc.ie.

A student registered with the DSS usually works with a scribe, how will this be facilitated?

We will be using Microsoft Teams to enable ­­­­­­­students to link with a scribe remotely so please advise the student to contact the Disability Service at dssinfo@ucc.ie.
